When should you replace Excel quotations with a configurator?

An Excel workbook can be a sensible way to calculate prices for a small, controlled range. A configurator becomes worth evaluating when customers or dealers need to make dependent product choices, several people must use the same rules, and the accepted selection must become a traceable order. The decision should turn on those responsibilities, rather than the appearance of the spreadsheet.

Start with the workbook that actually wins orders

Bring a working quotation file to the evaluation. Identify its input cells, lookup tables, manual adjustments and output documents. Ask the person preparing offers which warnings they routinely ignore and which missing information they resolve by telephone. Those conversations reveal requirements that a demonstration based on a clean price list will miss.

Do not replace a useful calculation merely to remove Excel. It may remain a controlled reference for checking the new system. The problem is deciding which version is authoritative and how a change reaches everyone preparing quotations.

Microsoft documents list, number and formula-based data validation in Excel. Microsoft documentation. The buying test is broader: can your complete process prevent, explain and preserve the decisions your company accepts?

Change one option after the price has been calculated

Consider a door range where a selected lock is unavailable for one opening arrangement. Prepare a valid quotation, change the opening arrangement, then inspect the lock, price and output document. A useful system should either remove the incompatible lock with an explanation or require a compatible replacement. Merely changing the picture does not resolve the order.

Repeat the exercise with a saved quotation from before a catalogue update. Decide whether the earlier offer remains readable, needs repricing or requires review. Apply the same expected result to the spreadsheet workflow and the proposed configurator.

Buying questionEvidence to request
Which catalogue produced this offer?A retained version reference
What happens to an invalid accessory?A visible decision and corrected specification
Can another salesperson reopen the work? The same selections and commercial status
What reaches the factory?Identifiable items, quantities and order references

Compare the complete operating cost

Count the time spent maintaining either approach, checking unusual orders and copying accepted selections into other software. A workbook maintained by one knowledgeable employee has a different operating model from a dealer network with frequent catalogue changes. A configurator also needs maintenance, test cases and someone responsible for its product data.

For a Configurix pricing implementation, define which calculations move into the application, which source remains authoritative and what the factory receives. Custom software can connect these responsibilities, but the proposal must identify the actual rules, documents and integrations included.

Make the purchase decision on a repeatable exercise

Use one ordinary order, one incompatible combination and one revised offer. Give both approaches the same starting information and ask another employee to complete the handoff without verbal assistance. Record every manual correction. This produces a useful decision even if the result is to keep Excel for now and improve its controls first.

Does using Excel mean our process is unprofessional?

No. The relevant questions are whether the workbook is controlled, whether people understand its rules and whether accepted orders can be reproduced. Software should solve a demonstrated operating problem.

Must we stop using spreadsheets after buying Configurix?

Not necessarily. You can agree controlled import, review or reporting uses. Specify the direction of each data exchange so that two editable sources do not silently become competing price authorities.
