Do you need editable quotations or controlled PDF offers?
Compare editable quotation documents with issued PDFs, considering approved scope, revision history, customer changes and links to the configuration.
Table of contents
Editable quotations can help a salesperson prepare a proposal, while an issued PDF can preserve the document sent to the customer. Decide which content may be edited, which values must come from the configuration and how a later change is reviewed. The file format alone does not establish control.
Separate narrative edits from product changes
A salesperson may need to adjust an introduction, installation explanation or project note. Changing a dimension, quantity or price affects a different record. If those changes happen only inside a document editor, the saved configuration and factory output can remain wrong.
Identify which fields are supplied by controlled product data and which are approved commercial text. A flexible document should still make the underlying specification traceable.
| Document element | Source to agree |
|---|---|
| Product dimensions | Current configuration revision |
| Item prices | Approved commercial calculation |
| Project explanation | Authorized salesperson input |
| Terms and validity | Approved document definitions |
| Acceptance reference | Issued quotation and selected scope |
Test an edit after document generation
Generate a quotation, change an accessory in the application and issue a revised document. Confirm that the previous copy remains identifiable and the new copy reflects the accepted change. Then test an attempted price edit in the document itself.
Ask how the system prevents or identifies a mismatch. The correct arrangement may permit draft editing while requiring the final amount to be regenerated or approved before issue.
Include non-PDF recipients in the brief
Some customers need structured order data or an internal procurement format. Others need an accessible document they can review and share. Identify these needs before commissioning a single attractive PDF template.
A quotation document is also different from an installation instruction or production drawing. Do not assume that one generated file can satisfy every recipient simply because it contains the product image.
Define document generation with Configurix
A Configurix quotation implementation can be specified around your current offer and review process. Provide examples of normal edits, exceptional amendments and accepted documents. Agree the formats, editable fields and revision references included in the custom software.
Is an editable Word file always less reliable than a PDF?
No. Reliability depends on the process and authority of the fields. A PDF can also contain incorrect or outdated information if its source is not controlled.
Should changing the document update the configurator automatically?
Do not assume it will. Decide whether edits are permitted and how product or commercial changes return to the authoritative record. Test the agreed direction explicitly.
